Accounting and Operations Assistant
GENERAL SUMMARY:
The Accounting and Operations Assistant is responsible for assisting in the timely and accurate input of customer information, customer invoicing, financial agreements, time entries, expense entries and financial reporting in BlueRock’s internal software (Connectwise).
Essential Duties and Responsibilities:
- Prepare all recurring and ad-hoc invoice types through an automated process in Connectwise based on billing cycle
- Gather data for credit checks on prospects and report results to management
- Maintain customer financial information and status in Connectwise
- Establish customer agreements in Connectwise that correspond to service or project contracts
- Prepare sales reports for all products, services, and projects
- Monitor customer account details for non-payments delayed payments and other irregularities
- Prepare various financial reports for management to forecast service and support costs
- Prepare and maintain budgets for the company and customer projects
- Perform other accounting an operations activities as required
Additional Duties and Responsibilities:
- Assist in maintaining corporate and financial records of the company
- Assist in tracking employee vacation and sick time
- Investigate and resolve customer inquiries with billing and invoicing
- Responsible for entering time and expenses in Connectwise as it occurs
- Understand processes in Connectwise by completing assigned training materials and blueprints on the Connectwise University
- Enter all work as activities or service tickets into Connectwise

- Strong organizational, presentation, and customer service skills
- Skill in preparing written communications
- Interpersonal skills: such as telephony skills, communication skills, active listening and customer-care
- Ability to multi-task and adapt to changes quickly
- An unshakable, ravenous desire to AGGRESSIVELY expand your knowledge. Expect to read 3-5 company-assigned books as well as prepare for an ITIL v3 Foundation examination within your first 90 days of employment (training materials and mentoring provided), and that’s just the warm up!
- Service awareness of all organization’s key IT services for which support is being provided
- Typing skills to ensure quick and accurate data entry
- Self-motivated with the ability to work in a fast moving environment
- Better than Average at 1st Person Shooters (PC, PlayStation or XBOX)
- A passion for creating a memorable customer service experience. If you had a lemonade stand as a child and out-earned that snot-nosed kid across the street because you were offering a unique lemonade buying experience by way of perhaps car side service or complementary napkin or cookie, you’re probably in the right ballpark
- Understanding of support tools, techniques, and how technology is used to provide IT services
- Self-motivated with the ability to work in a fast moving environment
